Get paid before you've packed the van

Your customer taps a link in a text and pays by card, Apple Pay or PayID in seconds. The payment reconciles itself in Xero and a receipt goes back automatically, so there's nothing left to chase.

By Daniel Hall · Automation builder at Made 4 Tradies

When a job is done, the invoice goes out as a text with a "Pay now" link instead of a PDF the customer has to print, read and bank-transfer later. They pay on the spot from their phone, the invoice is auto-marked paid in Xero or QBO, and a receipt is texted straight back. Mailing PDFs and waiting on bank transfer is the single biggest cash-flow drag for trades, and this removes the gap entirely. There's no follow-up to forget, because the link does the asking for you.

The cash-flow drag, gone

Paid before you've packed the van.

Mailing a PDF and waiting on a bank transfer is the single biggest cash-flow drag for trades. A tap-to-pay link gets you paid on the spot — timings shown are illustrative.

Why it gets you paid

One contractor on Reddit put it bluntly: “I'm owed $47K in unpaid invoices because I forget to follow up.” A link in the text means there's nothing to chase — they pay while you're still on site.

How it works

Trigger → actions → outcome

  1. 1

    Job marked complete

You tick the job off in your tools and the invoice is raised automatically, ready to send as a text rather than an emailed PDF.

  2. 2

    Pay-by-link text lands

The customer gets an SMS with the amount and a 'Pay now' button that opens a secure hosted payment page on their phone.

  3. 3

    They tap and pay

Payment goes through by card, Apple Pay or PayID in seconds, with no bank details to copy out and no transfer to remember later.

  4. 4

    Auto-reconciles in Xero or QBO

The payment clears, the invoice is marked paid against the right record, and your ledger squares itself without manual data entry.

  5. 5

    Receipt texts back

A confirmation and receipt link go straight back to the customer, so they're sorted and you're paid with nothing left to chase.

Tap

How the customer pays

One tap on the SMS link opens card, Apple Pay or PayID. Removing steps is the point; exact taps vary by phone.

$0 mailed

PDFs posted or waiting on transfer

The pay-by-link replaces the mailed invoice and bank-transfer wait that trades describe as their biggest cash-flow drag.

$47K

One contractor's unpaid invoices
